The referral process, step by step

Submitting a referral takes minutes. Here’s what happens next.

  1. You submit the referral

    Send through the participant’s details and NDIS plan via our referral form. Not sure if behaviour support funding is in the plan? Refer anyway, and we’ll help work out the funding pathway.

  2. We review and respond within 24 hours

    We review the participant’s current needs, goals, support environment, and available funding, then come back to you within 24 hours. If we need more detail to match the right clinician, we’ll ask.

  3. We match the right clinician

    We match your client with a practitioner suited to their needs, preferences, location, and complexity. Getting the fit right early is a big part of why our support holds over the long term.

  4. We confirm and get started

    We confirm the pathway and the service agreement, keep you informed, and begin. From there you’ll have a provider who communicates clearly and keeps you updated through the plan period.

When we assess a participant, our reports and Letters of Recommendation look across their whole NDIS plan and recommend funding where it’s genuinely needed, not just in the behaviour support category.

Everything you need to know before submitting a referral.

What information do I need to include in a referral?

The key information you can provide upfront is the participant’s name, date of birth, NDIS number, a description of the behaviours of concern, and their current support arrangements. Any previous assessments or reports, and the participant’s NDIS plan if available, help us move quickly. You can upload these directly through our referral form.

How quickly will you respond to a referral?

We respond to all referrals within 24 hours, on business days. Once a referral is accepted, we issue a service agreement within 24 hours and begin the clinician-matching process.

Do you accept referrals for high-complexity participants?

Yes. We accept referrals across all levels of complexity, including those with aggression, self-injury, high-risk behaviours, acute mental health presentations, and forensic or correctional involvement. We work within the specialist settings these participants need.

Is there a waitlist?

No. We don’t operate a waitlist. We aim to issue a service agreement and begin the clinician-matching process within 24 hours of accepting a referral.

Can I refer a participant who is currently with another PBS provider?

Yes. Participants are free to change providers at any time. Where a participant is moving from another provider, we work with the outgoing provider where appropriate to keep continuity of support and reduce disruption.
